How to Search a GST Number by Company Name

Tried searching a GST number by company name on the official portal recently? It's rough. Type in "Sharma Traders" and you'll either get nothing or forty results with no way to tell which one you actually meant.
This isn't a bug. The government portal was built around GSTIN and PAN lookups — name search was bolted on, not designed in. If you need one company's GST status before a call or a contract, here's what actually works.

Start With the Official Portal (It's Free)

Go to https://services.gst.gov.in and use Search Taxpayer. There are three ways to search:

  • Search by GSTIN/UIN — instant and accurate if you already have the number.
  • Search by PAN — returns every GSTIN registered under that PAN across states, which is useful for a business with multiple state registrations.
  • Search by name — technically exists, but is practically unreliable for common business names.

If you already have a GSTIN from an invoice or business card, this is genuinely the fastest and most authoritative path. Skip everything below.

When You Only Have a Name

This is where most people actually get stuck, and it's the real reason "search gst number by company name" gets searched thousands of times a month.

Option 1: Third-Party GST Lookup Tools

These pull from the same government database but build actual name-search indexing on top of it — fuzzy matching, state filters, and partial-name results. Most offer a handful of free lookups daily before charging.

Option 2: Cross-Reference From an Invoice or PO

If you've received even one invoice from the company, the GSTIN is printed on it. No search needed — just verify the number's still active.

Option 3: Ask Directly

Sounds obvious, but a quick "can you share your GSTIN" before onboarding a vendor saves the whole search entirely, and any legitimate registered business will hand it over without hesitation.

What the Result Actually Tells You

Once you've got a match, the lookup returns:

  • Registration status — Active, Cancelled, Suspended, or Provisional
  • Legal and trade name
  • Registration date
  • Business type — proprietorship, partnership, company, etc.
  • State jurisdiction

The status field is the one that matters most. Active means they're filing normally. Cancelled means they've stopped — could be a shutdown, could be a restructure, but it's a signal to pause before you extend credit or expect input tax credit to flow through cleanly. Suspended sits in between and deserves a follow-up question, not an assumption.

One Lookup vs a Whole List — Different Problem

Everything above works fine for checking one company before a call or a contract. It falls apart the moment you're sitting on a lead list of 200 companies and need to know which ones are even still active.

That's a different workflow entirely — batch verification against an API instead of one-by-one manual searches. I wrote the full breakdown of that process here, including what an 11% dead-company rate actually cost me on a real campaign.

What to Do Now

If you're checking one company before signing something, go straight to the official portal if you have a GSTIN, or a name-search tool if you don't. Takes under a minute either way.

If you're doing this more than a few times a week — sales, procurement, vendor onboarding — stop doing it manually. Automate GST checks into whatever workflow already touches that data, and the Knox Community has a few good threads on exactly how people have wired this into their CRM or lead pipeline.
